The Philanthropy Associate plays an essential role in ensuring that donors receive meaningful stewardship and that the systems supporting fundraising operate efficiently and effectively.

Reporting to the Chief of Philanthropy, the Philanthropy Associate provides administrative, operational, and donor stewardship support to advance Miracle Flights’ fundraising efforts and philanthropic goals. This role helps create an exceptional donor experience while supporting the systems, processes, and day-to-day operations that enable Miracle Flights to grow philanthropic revenue and serve more families.

This position is ideal for a highly organized and detail-oriented professional who enjoys supporting donor relationships, managing data, and helping build the infrastructure necessary for long-term growth.

Location: Based at our Las Vegas headquarters, with flexibility for a hybrid or remote work model.

Purpose of the Position

The Philanthropy Associate provides administrative, operational, and donor stewardship support to advance Miracle Flights’ fundraising efforts and philanthropic goals.

This team member will:

  • Serve as the primary administrator for the donor CRM.
  • Process donations and ensure timely gift entry, coding, acknowledgements, and reporting.
  • Coordinate donor acknowledgments and stewardship activities.
  • Conduct prospect research and prepare donor profiles and briefing materials.
  • Provide administrative and project support to the Chief of Philanthropy.
  • Support fundraising campaigns, donor experiences, events, and special projects.

Key Responsibilities

CRM & Donor Data Management

  • Serve as the primary administrator for the donor CRM, ensuring accurate records.
  • Process donations and ensure timely gift entry, coding, acknowledgements, and reporting.
  • Develop reports, dashboards, mailing lists, segmentation lists, and fundraising analytics.
  • Support donor pipeline management, portfolio tracking, and fundraising performance analysis.
  • Monitor data integrity and ensure adherence to organizational CRM standards and procedures.

Donor Engagement & Stewardship

  • Coordinate donor acknowledgments, thank-you letters, and stewardship.
  • Assist the Philanthropy Manager in creating donor experiences that strengthen engagement and retention.
  • Support donor correspondence, presentations, proposals, meeting preparation, and follow-up.

Prospect Research & Pipeline Support

  • Conduct prospect research on individuals, corporations, and foundations.
  • Prepare donor profiles, meeting briefings, and research reports.
  • Work with the team to identify new donor, sponsor, and grant opportunities.
  • Assist in maintaining prospect pipelines and forecasting.

Administrative Support

  • Provide administrative and project support to the Chief of Philanthropy.
  • Coordinate calendars, meetings, donor visits, and internal project timelines.
  • Assist with philanthropy initiatives such as fundraising campaign execution, stewardship initiatives, events, and special projects.
  • Help maintain fundraising dashboards, goals, and key performance indicators.
  • Attend and assist with Miracle Flights events, donor experiences, campaigns, and community activations.

 

Required Education & Experience

  • Bachelor’s degree preferred or equivalent professional experience.
  • 1–3+ years of nonprofit, administrative, or other transferable work experience.
  • Experience working in a donor CRM system or other data entry environment.
  • Experience performing prospect research preferred.
  • Project management experience.

Salary: Compensation starting at $50,000 annually, commensurate with experience.

An employee’s pay position within the salary range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, travel requirements, any contractual agreements, and business or organizational needs. The range listed is just one component of Miracle Flights’ total compensation package for employees.
