Miracle Flights is seeking an Executive Assistant (EA) to the CEO. This position provides high-level, highly confidential administrative and operational support directly to the Chief Executive Officer. This role is essential in ensuring the CEO’s time, priorities, and workflow are managed effectively and efficiently.
The EA handles scheduling, communications, coordination, organization, follow-up, and administrative tasks that enable the CEO to focus on strategic leadership and organizational priorities. This position requires exceptional attention to detail, discretion, professionalism, and the ability to anticipate needs.
This role interacts regularly with staff, Board members, donors, partners, and external stakeholders on behalf of the CEO and represents Miracle Flights with the utmost professionalism.
Location: Based at our Las Vegas headquarters, onsite.
Key Responsibilities
Executive Support
- Manage the CEO’s calendar, meetings, appointments, and travel arrangements.
- Screen, prioritize, and respond to emails and requests on behalf of the CEO as appropriate.
- Prepare meeting materials, agendas, notes, and follow-up lists.
- Draft, edit, and format correspondence, documents, and presentations.
- Track outstanding items and ensure timely follow-up on the CEO’s behalf.
- Maintain an organized system for documents, files, and sensitive records.
Board & Governance Support
- Coordinate Board meeting logistics, scheduling, materials, and communications.
- Assist with preparing Board packets, presentations, and documentation.
- Maintain Board-related records, forms, and compliance documents as directed by the CEO.
Administrative & Operational Support
- Organize and maintain CEO files, inboxes, systems, and administrative processes.
- Assist with event scheduling, meeting coordination, visitor management, and hospitality.
- Support expense tracking, credit card management, reimbursements, and receipt reconciliation.
- Coordinate vendor communications and scheduling as directed by the CEO.
- Assist with HR-related coordination, such as interview scheduling, onboarding logistics, and communication support (not decision-making).
Communications Support
- Draft and edit internal and external messages for the CEO.
- Ensure accuracy, clarity, and brand alignment in CEO communications.
- Maintain professional and timely correspondence on behalf of the CEO.
Project Assistance
- Help the CEO stay organized by tracking timelines, deadlines, and deliverables.
- Conduct basic research, compile information, and prepare summaries when requested.
- Support project coordination and documentation without leading or managing workstreams.
Relationship Support
- Serve as a courteous and professional point of contact.
- Maintain confidentiality and discretion at all times.
Qualifications
Education & Experience
- Bachelor’s degree preferred; equivalent experience considered.
- 5+ years of experience supporting a CEO or senior executive.
- Experience in nonprofit, healthcare, philanthropy, or high-paced mission-driven environments is a plus.

Other Requirements
This is an on-site role located at Miracle Flights headquarters in Las Vegas, Nevada.
Occasional evenings or weekends for events or key meetings.
Ability to manage standard office equipment and lift up to 20 lbs.
